The problem: Bills arrive by email, mail, and supplier portals. One late fee slips through, and you're not sure what's due this week.
What you end up with: A 15-minute weekly list of every bill due in the next two weeks, checked against orders, with you approving each payment.
What you'll need
Your bills from the past month, recent purchase orders or receipts, and access to your accounting software.
Getting set up
What's due, and does it match what you ordered? Xero says its Gemini connected app can track outstanding payables and flag overdue bills. Wix says its Symphony agents can now pay approved bills, with the owner approving each purchase. Whatever tool you use, one rule stays: you approve every payment. Example: a small bakery gets bills from a flour mill, a dairy, a packaging supplier, and the utility company. Every Monday, the owner asks AI to list everything due in the next 14 days and compare each supplier invoice with the order. It flags a dairy invoice for 12 cases when the order was for 10. She calls the dairy, gets a corrected invoice, and pays the rest on time. (Our illustration.)
Step by step
- Pick a set time each week, like Monday morning.
- Gather new bills from email, mail, and portals.
- Ask the AI to list bills due in the next 14 days, with amounts and due dates.
- Ask it to compare each supplier bill with the order or receipt.
- Check every flag yourself.
- Approve and pay the ones that match.
- Note questions for suppliers, and follow up the same day.
A prompt to start with
Copy this prompt, then make it your own. "Here are this week's bills and my recent orders: [paste]. List every bill due in the next 14 days with supplier, amount, and due date, soonest first. Flag any bill that doesn't match an order, any duplicate, and any late fee. Don't pay or approve anything."
What you'll get
A short list of bills to pay this week, and a list of questions for suppliers. Time it takes: about 15 minutes a week. Sample output (made up): "Due Thu: Flour mill, $412, matches PO 118. Due Fri: Dairy, $288, invoice shows 12 cases, order was 10. Due next Tue: Electric, $196."
If something goes wrong
If a bill is missing, check the supplier's portal and your spam folder. If the AI misreads a scanned bill, type the amount in yourself.
Keep in mind
Watch for fake invoices. Confirm any new bank details by phone, using a number you already have. Never let a tool pay a bill you haven't approved. Make it a habit: same time every week, and file each bill once it's paid.
