What it does
- Builds a vendor list from live spend data, via Ramp or a pasted card and bills export, in a Google Sheet.
- Looks for unused seats, duplicate tools, and cheaper alternatives, naming three or more alternatives with cited, dated pricing.
- Tags each vendor Switch, Renegotiate, Waste, or Sticky, with a one-line reason, and prioritizes renewals in the next 120 days.
Setup in 4 steps
- Click Add to Grok Bot above, or Import Bot on the listing.
- Review what it includes and connects to, then click Add Bot (xAI's guide).
- Answer its setup questions: connect Ramp, or paste a card and bills export, name the Google Sheet for your vendor list, confirm your renewal window (120 days by default), who approves sends and whose name signs vendor emails, and a few more.
- Give it a first small job, check the result, then turn on scheduled jobs.
Example
A 15-person marketing agency with a long list of software subscriptions (our example scenario)
- Paste the last three months of card charges.
- Review the vendor sheet and the tags.
- Start with anything tagged Waste.
- Approve a counteroffer for one renewal coming up.
Tips
- Start with an export. You can connect Ramp later if you use it.
- Check any savings range against your own records before you act.
