The problem: New leads come in from your website, ads, and referrals. Some are ready to buy and some are just browsing, but they all look the same in your inbox, so the hot ones wait too long.
What you end up with: Every new lead gets a short summary, a simple fit score based on your own rules, and a suggested next step, so you can reach the best ones first.
What you'll need
A place where leads land (a form, CRM, or inbox), a written description of your ideal customer, and two or three simple rules for what makes a lead a good fit.
Getting set up
Not sure which new leads deserve your time first? Let's walk through it, using what each tool's official docs say it does. First, pick a tool. Gumloop lists lead qualification agents that score inbound leads and route hot ones to the right person with full context. Salesforce lists an Agentforce SDR agent that answers product questions and books meetings for your reps. In AI by Zapier, you can define structured outputs, like a category or a score, that you can use in later steps. Next, write your fit rules in plain words, like 'service businesses with a team of 5 or more.' Then, decide where the summary goes, like a CRM note or a Slack message. And last, keep any outreach behind an approval step.
Step by step
- When a new lead comes in, have the agent read the form or email.
- Ask it to look up public info on the company, if your tool allows it.
- Have it score the lead against your fit rules, and explain the score in a sentence or two.
- Have it suggest a next step: call now, send info, or nurture later.
- Have it post the summary where you'll see it.
- Review the top leads and decide who to contact.
- Each month, compare scores to who actually bought, and adjust your rules.
A prompt to start with
Here's a starter prompt. Change the details to fit your business. "When a new lead arrives, summarize who they are and what they asked for in three sentences. Score them 1 to 5 using my rules below, and explain why in one sentence. Suggest one next step. Only use what's in the lead and public info you can cite. If something is missing, say 'unknown.' Don't contact the lead."
What you'll get
For each lead: a three-sentence summary, a 1 to 5 fit score with a reason, and one suggested next step.
If something goes wrong
If every lead scores high, make your rules stricter and add an example of a poor-fit lead. If summaries guess at details, remind it to write 'unknown.' If you're getting too many alerts, only send scores of 4 and 5.
Keep in mind
A score is a guess, not a decision. A person should decide who to contact. Only use lead data you're allowed to use, and follow the privacy rules that apply to your business.
