The problem: Researching prospects by hand takes forever. You're digging through tab after tab for company info, contacts, and something good to say before you ever reach out.
What you end up with: A clean research brief for each prospect that you look over before any outreach. You stay in charge, and nothing gets sent automatically.
What you'll need
You'll need access to at least one of the agent tools listed below, a list of companies you want to reach, and a person (probably you) to review the results.
Getting set up
Spending too long digging up background before a sales call? Here's how to tackle it, based on each tool's official docs. First, pick a tool that's backed by its official docs. That could be Grok Bot's research and outbound-style jobs (https://x.ai/bot), an n8n AI Agent node with web or HTTP tools (n8n docs), or a Zapier Agents / AI by Zapier step hooked up to your CRM or a spreadsheet (Zapier Help). Next, connect only the data sources you're allowed to use. Then, make sure a person approves things before any message goes out. Grok Bot and Zapier both document approval-style controls.
Step by step
- Decide what you want in each brief: a company summary, products, recent news, likely pain points, contacts, and a couple of personal touches.
- Give the agent your list of companies and the tools and sources it's allowed to use.
- Ask for the same structured brief for every company.
- Read the briefs yourself. Fix anything that's off, and toss anything you don't trust.
- Only then draft your outreach, as a separate step, and still approve it before anything is sent.
A prompt to start with
Here's a template to start from. Adjust it to fit how your tool takes instructions. "For each company in this list, produce: 1) one-paragraph summary, 2) three likely pains for our offer, 3) up to three contacts with roles if available from allowed tools, 4) two personalization hooks with source URLs, 5) confidence notes on anything uncertain. Do not invent contacts or news. Do not send emails."
What you'll get
Notes on each company, organized the same way, ready for you to review. How good and how complete they are depends on the tool and your sources.
If something goes wrong
If it starts making things up, tighten your instructions. Ask it to show sources, and to say "unknown" when it can't find something. If a tool can't get to the data, drop that field instead of guessing. When you can, check the run history (n8n has execution logs, Zapier has Zap History) to see what happened.
Keep in mind
We're not promising any particular response or conversion rate. Follow the data and privacy rules that apply to you, and use each tool's approval controls. We've left out any Grok Bot firsthand results on purpose.
