The problem: Receipts pile up in your inbox and your phone, and every month your bookkeeper asks what that $43 charge was.
What you end up with: A tidy weekly spreadsheet of receipts and expenses, each with a suggested category and a note, ready for you to check and hand to your bookkeeper.
What you'll need
A place receipts land (like an email folder), a spreadsheet, and the category list your bookkeeper or accounting software uses.
Getting set up
Dreading the monthly scramble to get records ready for your bookkeeper? This playbook sticks to what each tool's own docs say. First, pick a tool. Google says Gemini in Gmail can find key details in emails and Gemini in Sheets can fill in tables from plain-English prompts. In AI by Zapier, you can define structured outputs, like a category, that map cleanly into later steps. Make lets you build agents on a visual canvas with manual approvals. Next, set up a receipts folder or label and forward receipts there. Then, give the agent your bookkeeper's category list. And last, keep it to prep only. The agent never pays, moves money, or changes your books.
Step by step
- Once a week, have the agent read new receipts in your receipts folder.
- For each one, have it pull out the date, vendor, amount, and what it was for.
- Ask it to suggest a category from your list, with a confidence note.
- Have it flag anything unclear, like duplicates or receipts with no amount.
- Review the sheet and fix categories.
- Fill in the flagged items yourself.
- Share the sheet with your bookkeeper.
A prompt to start with
Try this prompt, and tweak it for your tool. "Read the new receipts in my receipts folder from this week. For each, add a row with: date, vendor, amount, what it was for, and a suggested category from this list: [categories]. Add a confidence note (high, medium, low). If the amount or date is missing, or it looks like a duplicate, flag it. Only use what's in the receipt. Don't guess."
What you'll get
A weekly sheet with one row per receipt, a suggested category and confidence note, and flags for anything unclear.
If something goes wrong
If categories are off, add a short example for each category. If it misses receipts, check that they're all landing in the folder. If amounts are wrong, ask it to copy the total exactly as shown on the receipt.
Keep in mind
This is prep, not accounting or tax advice. Your bookkeeper or accountant makes the final calls. Keep financial documents private and only connect the folders the agent needs.
