Staff Training Quizzes From Your How-To Guides

For: Operations · Difficulty: Beginner

The problem: You've written how-to guides, but you don't know if your team has actually read them, or remembers the important parts.

What you end up with: A short, friendly quiz for each how-to guide, with an answer key that points back to the guide, so new and current staff can check what they know.

What you'll need

Your written how-to guides or SOPs, and a simple way to share a quiz, like a form or a printed sheet.

Getting set up

Wrote how-to guides but not sure your team remembers them? This playbook sticks to what each tool's own docs say. First, pick a tool. Notion says its AI can generate docs from your pages. Microsoft says Copilot in Word can write, edit, and summarize documents. Google says Gemini in Docs can create first drafts. Next, pick one guide to start with. Then, decide on five to ten questions per guide. And last, the AI drafts. You check every question and answer.

Step by step

  1. Give the AI one how-to guide.
  2. Ask for eight questions on the most important steps, especially safety and customer-facing ones.
  3. Ask for an answer key that cites the section of the guide for each answer.
  4. Check every question for accuracy and fairness.
  5. Put the quiz in a simple form or on paper.
  6. Use it as a friendly learning check, not a test to punish.
  7. Update the quiz whenever the guide changes.

A prompt to start with

Try this prompt, and tweak it for your tool. "Using only this how-to guide: [guide], write eight short quiz questions (a mix of multiple choice and true/false) on the most important steps, especially safety and customer-facing ones. Add an answer key that names the section each answer comes from. Keep the language simple and friendly."

What you'll get

A short quiz and an answer key linked to sections of your guide.

If something goes wrong

If questions are too easy, ask for scenario questions. If any answer is wrong, the guide may be unclear, so fix the guide too. If it invents steps, remind it to use only the guide.

Keep in mind

Quizzes support training, but they don't replace hands-on training or required certifications. Keep results private, and be fair and consistent with everyone.
