Inbox Triage with AI Agents

For: Operations · Difficulty: Beginner

The problem: Your inbox is a mix of customers, vendors, newsletters, and noise. The important emails get buried, and you spend the first hour of every day just sorting.

What you end up with: A short morning summary of what needs you today, with emails sorted into simple groups and quick reply drafts ready for the easy ones.

What you'll need

A clear idea of your email groups (for example: customers, money, vendors, team, and can wait) and a few examples of quick replies you send often.

Getting set up

Opening your inbox to a wall of email every morning? Let's walk through it, using what each tool's official docs say it does. First, pick a tool that fits your email. Microsoft says Copilot in Outlook can catch you up on email and draft responses. Google says Gemini in Gmail can summarize threads, find key details, and draft emails. Lindy names Gmail among the apps it connects to and says actions that write or send can wait for your approval. Next, write down your groups in plain words, with an example for each. Then, decide what counts as urgent, like a customer problem or anything about money. And last, keep it to sorting and drafting. You send every reply.

Step by step

  1. Each morning, have the agent read emails that came in since yesterday.
  2. Ask it to sort each one into your groups.
  3. Have it list anything urgent at the top, with one line on why.
  4. For simple emails, like confirming a time, have it draft a short reply.
  5. Review the summary and the drafts.
  6. Send what's ready, and block time for the rest.
  7. After a week, adjust your groups and urgent rules.

A prompt to start with

Here's a starter prompt. Change the details to fit your business. "Read my emails from the last 24 hours. Sort each into: customers, money, vendors, team, or can wait. List urgent ones first (customer problems, anything about payments, or deadlines this week) with one line on why. For simple ones, draft a short reply in my voice. Don't send, delete, or unsubscribe from anything."

What you'll get

A morning summary with urgent items first, emails sorted into groups, and a few reply drafts ready for review.

If something goes wrong

If it marks too much as urgent, tighten your urgent rules with examples. If it misfiles emails, give it two examples per group. If drafts sound stiff, paste in a few of your real replies.

Keep in mind

Don't let the agent delete, unsubscribe, or send on its own. Be careful with emails that contain private customer or financial info, and only connect the inbox you need.
