Tracking Warranties and Claims Before They Expire

For: Operations · Difficulty: Beginner

The problem: The fridge compressor dies a month after the warranty ran out, and the receipt is somewhere in a shoebox. You paid for coverage you never used.

What you end up with: One warranty list with purchase dates, coverage end dates, and how to file a claim, plus a short list of claims in progress.

What you'll need

Receipts and warranty cards for your equipment, appliances, and tools.

Getting set up

Is that broken printer still under warranty? You'll know at a glance. Google lists Gemini in Sheets, and Microsoft says Copilot works inside Excel. If your books are in Xero, Xero says JAX helps keep them current, which makes finding purchase dates easier. Then set up one sheet with item, purchase date, coverage end, and claim contact.

Step by step

  1. Gather receipts and warranty cards.
  2. Ask the AI to pull out item, purchase date, coverage length, and claim contact.
  3. Ask it to work out each coverage end date.
  4. Check every date against the paperwork.
  5. Before you pay for a repair, check the list.
  6. Track claims: date filed, what's needed, status.
  7. Save photos of receipts with the list.

A prompt to start with

Try this prompt, and tweak it for your tool. "Here are my receipts and warranty cards: [paste or attach]. Make a table with item, purchase date, coverage length, coverage end date, and how to file a claim. Flag anything ending in the next 90 days. Don't guess dates or terms that aren't on the paperwork."

What you'll get

A warranty table with end dates, and a claims-in-progress list.

If something goes wrong

If warranty terms are vague, check the maker's website and note what you found. If receipts are faded, photograph them now.

Keep in mind

AI can misread dates and terms. The maker's warranty terms are what count, so check them before you file.
