The problem: Payroll is due tomorrow. One timesheet shows a 14-hour shift, someone forgot to clock out, and you're not sure about overtime.
What you end up with: A short list of timesheet issues to fix before payroll: missed clock-outs, long shifts, overtime, and missing breaks.
What you'll need
This pay period's timesheets, exported or in your payroll app.
Getting set up
What needs a second look before you run payroll? Gusto says its AI connectors can help prepare payroll and flag what needs your judgment. Homebase lists overtime alerts on its plans. A spreadsheet works too. You approve every payroll run. Example: a small restaurant has 16 hourly staff. Before payroll, the manager pastes the week's timesheets and asks for anything unusual. The AI flags a 13-hour shift (a missed clock-out), a week at 44 hours, and two shifts with no break. The manager confirms the missed clock-out with the server, approves the overtime, and fixes the records before running payroll. (Our illustration.)
Step by step
- Export or open this pay period's timesheets.
- Ask the AI to flag missed clock-outs, very long shifts, and overtime.
- Check each flag against your schedule.
- Ask employees about anything unclear.
- Fix the timesheets in your time or payroll app.
- Review the payroll summary.
- You approve the payroll run.
A prompt to start with
Try this prompt, and tweak it for your tool. "Here are this pay period's timesheets: [paste]. Flag any shift over [x] hours, any missing clock-out, any week over 40 hours, and any shift with no break. List them by employee. Don't change any hours."
What you'll get
A list of timesheet issues to check before payroll. You'll also have a short note of each fix, which is handy if anyone asks later. Time it takes: about 15 minutes before each payroll. Sample output (made up): "Jordan: Tue shift 13 hrs (no clock-out). Sam: 44 hrs this week (4 overtime). Alex: Thu and Fri, no break recorded."
If something goes wrong
If the AI flags a lot, check your export settings. If an employee disagrees with a fix, talk it through before payroll. If the export cuts off names or dates, try a smaller date range. If the same person misses clock-outs often, show them how the time clock works.
Keep in mind
Overtime and break rules depend on where you operate. Check with your payroll provider or accountant. Make it a habit: check timesheets the day before payroll, not the hour before.
