Team Meeting Agendas That Keep Things Short

For: Operations · Difficulty: Beginner

The problem: Team meetings drift. Nobody knows what's on the list, the same topics come back every week, and decisions get lost.

What you end up with: A short agenda before every team meeting, built from last week's notes and open items, with a time for each topic and space for decisions.

What you'll need

Notes or action items from your last meeting, a list of what's coming up this week, and a place to share the agenda.

Getting set up

Want your weekly huddle done in 20 minutes? Start by picking one tool. Zoom says ZoomMate creates agendas and gathers prep materials from past interactions. Google says Gemini in Docs can create first drafts. Microsoft says Copilot in Word can write and summarize documents. Then decide how long the meeting should be, and keep a running doc of open items.

Step by step

  1. Paste last meeting's notes and open action items.
  2. Add anything new for this week.
  3. Ask for an agenda with no more than five topics and a time for each.
  4. Put open decisions first.
  5. Share it with the team a day ahead.
  6. After the meeting, add decisions and owners to the same doc.
  7. Reuse that doc to build next week's agenda.

A prompt to start with

Try this, then tweak it for your team. "Here are last week's notes and open items: [notes]. Here's what's new: [items]. Write a 20-minute team meeting agenda with up to five topics, a time for each, decisions needed first, and a short 'decisions and owners' section at the end."

What you'll get

A one-page agenda with times, decisions to make, and a space to record owners.

If something goes wrong

If the agenda is too long, ask it to cut to the top three topics. If topics keep repeating, add an owner and a due date to each.

Keep in mind

The AI can't know what matters most to your team today, so you set the priorities. Keep private staff matters out of shared agendas.
