Shift Handoff Notes Your Team Will Actually Read

For: Operations · Difficulty: Beginner

The problem: The morning crew doesn't know the walk-in fridge is acting up, or that a customer is coming back at 3. Things fall through the cracks between shifts.

What you end up with: A short handoff note at the end of each shift: what happened, what's waiting, and who needs a call back, in the same format every time.

What you'll need

A shared place for notes, like a doc, a team chat, or a notebook, and five minutes at the end of each shift.

Getting set up

What does the next shift need to know first? Build the note around that. Microsoft says Copilot can summarize documents. Google says Gemini in Docs can create first drafts. Notion says its AI can generate docs from your pages. Then agree on a simple format with your team, like three headings: done, waiting, and watch out.

Step by step

  1. At the end of a shift, jot quick notes or record a voice memo.
  2. Paste them into your AI tool.
  3. Ask it to sort them under your three headings.
  4. Read it, and fix anything it got wrong.
  5. Post it where the next shift starts.
  6. The next shift checks off what they handled.
  7. Once a week, look for repeat problems.

A prompt to start with

Use this as a starting point, and adjust it to your tool. "Sort these end-of-shift notes into three short sections: Done, Waiting (with who and when), and Watch out. Keep it under 150 words, use plain language, and don't add anything that isn't in my notes: [notes]."

What you'll get

A short, consistent handoff note for each shift.

If something goes wrong

If notes get long, set a word limit. If the team doesn't read them, post them where everyone looks first, like the time clock or team chat.

Keep in mind

Keep customer and staff personal details out of shared notes. For safety issues, tell the next person directly, not just in a note.
