The problem: No-shows cost you money, and sending reminders and thank-yous by hand is one more thing on a busy day.
What you end up with: A friendly reminder before each appointment and a short thank-you or next-step note after, drafted from your calendar and sent only the way you've approved.
What you'll need
A calendar or booking tool where appointments live, customers who've agreed to get reminders, and your reminder and follow-up wording.
Getting set up
Losing money to no-shows? Here's a simple playbook, built from each tool's official docs. First, pick a tool. Google lists appointment booking pages in Business Standard and Studio flows for things like meeting prep. Lindy names Gmail and Calendar among the apps it connects to, and that actions that write or send can wait for your approval. Make lets you build agents on a visual canvas with manual approvals. Next, write two short templates: a reminder and a follow-up. Then, decide timing, like a reminder one day before and a follow-up the same evening. And last, start with approval on for every message. Once the drafts are reliably right, you can decide whether to loosen that for simple reminders.
Step by step
- Each morning, have the agent check tomorrow's appointments.
- For each one, have it fill in your reminder template with the name, time, and place.
- Review the drafts and approve them.
- After each appointment, have it draft a short thank-you with one next step, like booking the next visit.
- Approve or edit the follow-ups.
- Have it note anyone who didn't show, so you can decide how to follow up.
- Check your no-show list monthly to see if reminders are helping.
A prompt to start with
Use this as a starting point, and adjust it to your tool. "Look at tomorrow's appointments on my calendar. For each one, fill in this reminder: [template]. Use only details from the calendar entry. If a name, time, or location is missing, flag it instead of guessing. Don't send anything. Put the drafts in my approval queue."
What you'll get
A batch of reminder drafts each morning, follow-up drafts after appointments, and a short list of no-shows.
If something goes wrong
If details are wrong, check how appointments are written on your calendar and keep the format consistent. If reminders feel robotic, add a friendly line of your own to the template. If time zones get mixed up, state your time zone in the instructions.
Keep in mind
Only message customers who've agreed to hear from you, and follow the texting and email rules that apply to your business. Keep private details, like what the appointment is for, out of reminders unless the customer is fine with that.
