The problem: Your customer list has duplicates, typos, old emails, and people listed three different ways. Emails bounce, and you can't tell who's who.
What you end up with: One tidy contact list, with duplicates merged, names and phone numbers in the same format, and questionable entries flagged for you to check.
What you'll need
An export of your contacts as a spreadsheet, and a backup copy you don't touch.
Getting set up
How many of your contacts are really the same person? Let's find out. Google lists Gemini in Sheets, and Microsoft says Copilot works inside Excel. If you use HubSpot, HubSpot says its agents work right on top of your CRM. Always keep a backup of the original list before you change anything.
Step by step
- Export your contacts, and save an untouched backup.
- Ask the AI to standardize names, phone numbers, and email formats.
- Ask it to list likely duplicates, without merging yet.
- Review the duplicates yourself, and decide which to merge.
- Flag emails that look mistyped.
- Re-import the clean list.
- Repeat every few months.
A prompt to start with
Copy this prompt, then make it your own. "Here's my contact list: [paste or attach]. Standardize names to First Last, phone numbers to one format, and emails to lowercase. Then list likely duplicates side by side, with your reason for each. Don't delete or merge anything. I'll decide."
What you'll get
A standardized list and a duplicates list for your review.
If something goes wrong
If the list is large, do it in chunks. If it merges people who aren't the same, remind it to only list possible duplicates.
Keep in mind
Customer lists are personal data, so share them only with tools your business trusts, and follow privacy rules where you operate. Remove people who asked not to be contacted.
