AI Agents vs. Chatbots vs. Automations

Chatbot, automation, agent. They get mixed up all the time, even by the companies selling them. So here's the simple version.

Think of it like help at a small shop:

• An automation is a timer on the lights. Same thing, same time, every time. Great for steady, repeat jobs.
• A chatbot is a friendly person at the front desk. It answers questions using what it's been told.
• An agent is a helpful assistant. It can figure out the steps, use your tools, and get a task done, ideally checking with you on the important stuff.

Here's how each one looks in practice:

• Automation: when someone fills out your contact form, their details go into a spreadsheet and you get an email. No AI needed. This is what tools like Zapier and Make were first known for.
• Chatbot: a bot on your website that answers "What are your hours?" or "Do you ship to Canada?" using your FAQs. Zapier Chatbots, for example, lets you add your FAQs, docs, and links so the bot can answer, and collect lead info on paid plans.
• Agent: "Check this week's new leads, research each company, and draft a personal follow-up for my approval." xAI describes Grok Bot this way: you hand it real work, and it uses its own computer and your connected apps to get it done.

The lines blur, and that's OK. Lots of tools now mix all three. A Zapier automation can include AI steps, and a chatbot can trigger an automation when it captures a lead.

So which one do you need? Ask yourself three questions: First, is it the same steps every time? Start with an automation. Next, is it mostly answering questions from your own info? Try a chatbot. And last, does it need several steps and a bit of judgment? That's agent territory, with you approving the important parts.
